Choosing the Right Listing Status

Office Exclusive

Private, office-only exposure

  • Visible only to agents within your brokerage (FlexMLS)
  • Not available to the public or syndicated online
  • Not included in email subscriptions
  • Showings allowed within your office

Best for: Sellers who prioritize privacy and limited exposure

Coming Soon

Pre-market exposure (no showings)

  • Visible to MLS Participants
  • Included in VOW, Broker Data Feeds, and FlexMLS email subscriptions
  • May be syndicated to broker and third-party websites (optional)
  • Showings are not permitted

Best for: Preparing the home while generating early interest

Active

Full market exposure

  • Visible to all MLS Participants and the public
  • Syndicated to IDX, broker, and third-party websites
  • Included in email subscriptions
  • Showings permitted

Best for: Listings ready for full exposure and cooperation

**What's Changed With Coming Soon** (As of April 2026)

CPAR has updated the Coming Soon status to better align with current market practices and provide greater flexibility.

Key Enhancements:

  • Optional Syndication *New* 
    • Coming Soon listings may be syndicated to broker and third-party websites
    • To exclude from internet display, select “No Internet” under Broker Distribution
    • If selected, this must be manually updated later to enable syndication—even after going Active
  • Required Public Remarks *New Rule*
    • All Coming Soon listings must include: “COMING SOON LISTING, NO SHOWINGS
  • Included in Email Subscriptions *New*
    • Coming Soon listings are now included in FlexMLS email subscriptions
  • No Changes to Existing Rules
    → No showings allowed during Coming Soon
    → Maximum 30-day Coming Soon window still applies
    → DOM (Days on Market) does not begin until listing becomes Active
    → Must upload the MLOS Disclosure & Authorization Form

 

New/Updated Disclosure Form (As of September, 2025)

To comply with the NAR Multiple Listing Options for Sellers policy, CPAR introduced a ‘Multiple Listing Options for Sellers Disclosure & Authorization’ form.

When It’s Required:

  • Any time a listing is entered as Coming Soon or Office Exclusive.
  • The form must be uploaded to the documents section of the MLS listing file.
  • Note: This form is NOT required for active listings and only applies to the above statuses. 

What It Includes:

  • Explanation of the marketing options available to sellers
  • Clarification of exposure levels, limitations, and visibility for each option
  • Seller acknowledgment and signature
  • Broker and agent signature
    This form ensures the seller has made an informed, documented decision about their listing strategy.

New Rules & Fine Structure (As of September 2025)

To ensure compliance with the updated policy and consistent application of MLS rules, the following updates are being implemented:

Violation of Disclosure Requirement:

  • If a required disclosure form is missing from a Coming Soon or Office Exclusive listing:
    • 1st Violation: a warning from CPAR staff with instruction to upload form within one business day
    • 2nd Violation: $500 fine
    • 3rd  Violation: $1,000 fine
    • 4th  Violation or more: $5,000 + 30-day MLS suspension

Clear Cooperation Reminder:

Any form of public marketing requires that the listing be placed in the MLS (as Coming Soon or Active) within 1 business day, per NAR’s Clear Cooperation policy.

Rules that apply to Coming Soon Listings

Coming Soon Status Definition: A temporary status where the seller/lessor is preparing the property for the market and the property is not yet available for showings.

  • The listing brokerage must have an active listing agreement in place to be able to enter a Coming Soon listing into FlexMLS. At any time, the CPAR MLS Department can request a copy of the listing agreement
  • The listing brokerage is required to upload a the MLOS Disclosure and Authorization Form  into the listing's associated document area immediately once the listing is placed in the MLS in a Coming Soon status.
  • All Coming Soon listings must include the following in Public Remarks: “COMING SOON LISTING, NO SHOWINGS”
  • There will be one additional required field for a Coming Soon listing called "Projected Active Date." This field will be hidden once the listing is marked active.
  • The Coming Soon listing will automatically be placed in an Active status once the listing reaches the "Projected Active Date" or has been in Coming Soon Status for 30 days.
  • All fields that are required for an active listing are required for a Coming Soon listing with exception of a photo.
  • Days on Market and Continuous Days on Market will not accrue while the listing is in a Coming Soon status.
  • Coming Soon will be a searchable status only within FlexMLS and FlexMLS mobile, for MLS users only.
  • Exceptions may be made that allow a listing to go beyond 30 days under extreme circumstances at the discretion of CPAR MLS Staff with the guidance of the MLS Committee.
  • A listing brokerage may not re-list a property in Coming Soon status unless:
    • The listing has been in Expired or Withdrawn status for more than 30 days;
    • The property is listed with a new brokerage firm or;
    • The property has been sold or rented.
  • If the listing brokerage places a sign on the property, there must be a “Coming Soon” rider or sticker on the property, with written authorization from the seller. This requirement does not apply if there is no sign on the property. The listing brokerage will not promote or advertise the property in any manner other than as “Coming Soon.”
  • When a listing is made Active, all references to Coming Soon should be removed from the listing and/or signage within 1 business day. (Added August 12th, 2020)
  • A seller can accept an offer from a prospective buyer while in Coming Soon status. In the event an offer is accepted on a listing in the Coming Soon status, the listing brokerage must change the listing status within 48 hours. Note: Listing must be changed to active before updating to any other status.
  • Showings while in Coming Soon status are prohibited.
  • A violation of these rules are assessed a $500 fine for the first violation, a $1000 fine for the second violation, and a $5000 fine plus a 30-day suspension of the subscriber’s MLS account for any subsequent violations.

How does the Coming Soon status work in FlexMLS? 

At the top of the listing on the Main Fields tab, you now have the choice of "Status," and can choose either "Active," or "Coming Soon - No Showings." If you choose Coming Soon, another new field will pop up called "Projected Active Date" which is where you can put the date that the listing will be active. This date can be a maximum of 30 days in the future.
